The ASU organization structure that was configured in Peoplesoft HCM system does not support the current business needs of the university. This project is designed to create an organzational strucure in Peoplesoft that mirrors the current ASU structure, allow for reporting and security, allow for less complex steps to support reorganization and supply the structure to allow for supporting proxy for submitter and full workflow for approvals.,

  • The following is the preliminary Scope:

     

    1. Define and obtain senior level approval for Reorganization Process including what constitutes an organizational change and what approvals are needed. We need to build oversight into the department change process.

    2. Define and obtain senior level approval for standard department tree levels for Academic and Administrative areas. This includes the defining standard definitions for levels and naming conventions for each of the levels.

    3. Obtain senior level decision for continuation of an intelligent (SMART) department code or change to a random department code by defining and presenting Advantages and Disadvantages of each.

    4. Build ONE tree using a standard hierarchical level. Approximately 982 departments are in the current department tree. Automate the maintenance of the VP College customization and build VP level into the tree structure. Retain the Department Rollup Table and modify to build table from only the department tree. Utilize this one tree for security and reporting purposes with Peoplesoft and utilize a currently unused field in the department table to store the old intelligent department code.

    5. The default “Reports To” position will be added to every department and functionality modified to default to position and through inference job. Modify ASU Position Management Custom Front-end to default Reports to From Department table. Look at other fields that can be used for reporting relationships with in position. This will include data maintenance with approval levels.

    6. Determine how Business Units are impacted. Determine if we should now use one business unit.

    7. Build a modification that updates departments, position, job, and funding based on mapping of old DEPTID to new DEPTID. This modification would be needed to eliminate the manual processes required to reflect organizational changes for renames and consolidations.

    8. Create, Print and View a University Organization Chart using PS delivered interface to VISIO.

    9. Review impacts to the Data Warehouse, dashboards, Advantage, InfoEd, COEUS, Effort Reporting, etc and make the appropriate changes as necessary to support the new structure.
