eAdvisor: Freezing Critical Tracking GPAs

Quick View
Summary:

To reflect accurate GPA information to advisors and critical tracking students the GPA will be frozen at the end of each track term after end of semester processing. Several different GPA requirements exist in critical tracking audits which need GPA frozen, for example:
• Maintain combined 3.00 GPA in all attempts of critical courses in semesters 1-3
• Maintain 3.00 ASU GPA in semesters 1-3
• Maintain 2.00 ASU Cumulative GPA for all semesters
• Maintain 2.00 GPA in major courses.

Scope:

1. GPAs are frozen for both critical and non-critical GPA requirements.
2. GPAs are frozen for the evaluated term at the end of semester processing. The GPA value will be stored with its associated track term/eval term.
3. The GPA will be adjusted once after the end of semester processing.
• For Fall semester the GPA will be recalculated at the end of Summer session grade processing.
• For Spring semester the GPA will be recalculated at the end of Winter session grade processing.
4. The end of semester processing GPA will be compared with the GPA after the summer or winter session is completed. If the GPA is >= to the previous value it is replaced as the new GPA and is frozen. If the GPA is < the previous value the end of semester processing GPA will be frozen.
5. At this point the GPA is frozen for the track term, regardless if late grades are posted or incompletes grades are recorded. These grade changes will be applied to the next track terms GPA calculation.
6. If the track term is set back the frozen GPA value will be deleted for the current track term and any future track terms that had a GPA frozen.
7. If the critical tracking student changes majors the frozen GPA values will be wiped and recalculated based on the new majors GPA requirements.
