General Scope of Work

1) Evaluate the structure and content of the College of Liberal Arts and Sciences Web site and
create a creative brief to guide future Web development. Make recommendations for a
distributed model for Web maintenance. (PCG/UTO)

CLAS project had a pilot phase (Phase I in summary section below) between May 2007 to January 2008. Starting from February 2008, Phases 2, 3, and 4 of the project are launched in parallel:

1) CLAS core website is prepared to be released in late Summer, 2008,

2) Half of the CLAS departments' websites are redesigned in terms of content and graphic design and most of them are being recreated in Drupal. Others are redesigned in DreamWeaver. This batch is planned to be released by summer to Fall 2008. From October 2008 onward the second half of the departments' websites will be worked on and projected to be delivered in early 2009.

3)The Drupal template is developed for all Research Centers and Institutes and their outsourcing partners to support them in their redesign efforts by end of May 2008.

4) Redesign of CLAS Research site to start late April 09, to be completed around Sept-Oct 09.

To be able to accomplish redesigning core CLAS websites and departmental websites, plus moving and supporting them in Drupal environment, the following tracks are also being worked on in parallel:

1) Most of the applications are moved to UTO servers and modified as needed. Several applications are created in Drupal.

2) Other department server moves are being done as the project progress.

to the college’s mission and vision through the redevelopment of the college and department Web sites.

To develop a Web site that embodies the spirit of the New American University and the College of Liberal
Arts and Sciences.

To position the college as an exemplar of university branding, communication and technology standards.

To effectively utilize and manage communication and technology resources of the College of Liberal Arts
and Sciences, University Technology Office, and Provost Communications Group.

To effectively integrate with university branding and development activities.

i. Integrate the center or institute into the sponsoring department.

ii. Provide templates and standards for work that is freelanced. UTO and PCG will
assist with identification of freelance resources and provide coordination and
adherence to standards. Costs of the freelance services is the responsibility of
the center or institute.

Project Priorities

1) The approach to the project will be one of collaboration. The team will seek to leverage the best
practices and designs currently existing in the College of Liberal Arts and Sciences and the
university.

2) The college Web site will be designed to utilize enterprise–level technologies and integrate with the
overall direction of asu.edu.

3) The department Web sites will follow a standard template for general navigation and flow. The
template will be designed to have some unique features (such as color sections from the university
color palette, graphics, and multi-media options).

4) A technical solution for creating and managing an online magazine will be identified and a template
will be designed.

5) Research centers and institutes will also follow a standard template but will be designed to have
some unique features (such as color selections from the university color palette, graphics and multimedia
options). Standards and templates will account for cross-university collaborations.

6) A general faculty Web site template will be created but no resources will be provided for
implementing the template. Management of faculty Web sites will not fall within the scope of this
project.

7) A system for accessing Web tools, standards and guidelines will be created. A UTO help desk will
be set up to facilitate technical questions, requests for modifications, access to tools and standards,
etc.

Project Phases

Phase 1: Give the CLAS Web site a Facelift based on the current structure and content.

Identify key stakeholders and begin meeting with them about design, content and technology
needs.

Build an updated design based on current content and structure to demonstrate an immediate
improvement while long-term planning and building is in process.

Build some “buffer pages” or content based on Ira A. Fulton School of Engineering and W.P.
Carey School of Business model (see below).

Begin to build a Drupal-based site to enhance content management and multimedia delivery.

Investigate faculty directory solutions.

Address the online magazine needs (how to deliver it through technology and how to design).

Design some basic common navigation and parameters for content delivered on the Web.

 

Phase 2: Core CLAS Website redesign and conversion to Drupal environment

Phase 3: CLAS Research Centers and Institutes Templates and Outsourcing
Develop basic design and content standards for research centers and institutes.
Identify external resources to be purchased by CLAS research centers and institutes to implement the templates.

Phase 4: CLAS Department Sites
Redesign and recreate 30 department sites in two batches, March 2008 batch and September 2008 batch. Some departments may choose to remain with DreamWeaver platform while the majority is expected to move to Drupal environment.
Note: During the conversion, department-level staff are going to be critical in maintaining the current Web sites and providing input in the initial design. They will also be utilized for the actual conversion and the maintenance of the
Web sites.

3) Departments of Political Sciences (they chose to stay with Dreamweaver currently), APAS (Dreamweaver), Global Studies won't be done as they are impacted by the new school websites listed above.
