Summary:
Develop an online system by which students may request advisor appointments and CLAS (College of Liberal Arts and Sciences) can manage these appointments. Students will be sent to the appropriate advisors calendars based on an ASU Advising Rule Engine that will be built into PeopleSoft. The Rule engine will use information we know about the student, and information they may be asked to supply at the time they make the appointment to determine the appropriate advisor to see.
Full scope and functionality of Calendaring component yet to be determined.
Known Scope of project:
Develop a system by which students, and individuals not yet affiliated with ASU, can scheduled appointments with academic advisors in any of the departments of the College of Liberal Arts and Sciences (CLAS). The application will use information we know about the student, and information they supply, to direct them to the appropriate advisor(s) calendars to schedule their appointments. Students with an active affiliate with ASU will access via My ASU, identified by their PeopleSoft data (major, academic level, academic standing etc.) and selections they make about why they are seeking advisement. Application to provide the means by which departments will manage their rules for directing students to advisor calendars. Non-Affiliated individuals will be directed by selections they make. Examples of information supplied by users include reasons they are seeking advisement and information supplied about themselves (a potential transfer students seeking to become a Bio-chemistry major at ASU). Provide means to support the management of these calendars by advisors and support staff, and provide email notification of appointments to students/potential students.
Features to include:
- Access to calendars via single signon from CLAS site or from My ASU.
- Rules to be maintained by individual CLAS departments to control which advisor calendars are available to each student based on student
attributes and selected reasons.
- Allow individual advisors to access their calendars to set available / non available times.
- Allow Update access to all Advisor Calendars in a department by Department Admin.
- Ability to mark students as "no-show" after two missed appointments - cannot schedule online until no-show hold is cleared.
- Provide students with information to prepare for advising sessions.
Additional Desired Functionality:
- Ability to synchronize appointment calendars with advisors Outlook calendars.
- Email reminders to students prior to appointment times
