Project Form Help Text

Title
- (required): Please use a unique name(Title) that includes a version differential to show phases of the project.
Quick view
- Project Slide: An image that describes or visually represents the project. (e.g. Whiteboard photo, Visio)
- Code option for Project Slide: to embed a Google Presentation or YouTube video, e.g... Use this option if you do not wish to upload an image.
- Summary(required): Short description of the project with enough detail to inform the viewer of the purpose of the project. It is recommended for text not to have any formatting.
- Start Date: Day on which a project started or will start.
- Go Live(required): Date on which the project deliverable(s) is/are scheduled to be released. Note that a project may have multiple go lives, in which case, this date will change as go-lives are met.
- End Date: Date when transfer to OPS/Care is complete and end of burn-in stage.
- Current Milestone: The weekly critical path update with date and sentence description.
- Project Plan: A URL link to a detailed plan. (e.g. Sharepoint, Google Site, Google Doc)

Stage(required): Designates the stage in the project lifecycle this project is in. The site view and email notification are controlled by this field. Emails are sent when a project is put in the Proposed, New, On Hold, or Canceled states.

- New - Approved UTO project.
- On Track - Project plan on schedule.
- Off Track - Missed milestone date.
- Critical - In danger of missing completion date.
- Missed go live date.
- Re-baselined - New project schedule created.
- Recently Released - Completed in last 3 months.
- Completed - In operation and supported by UTO.
- On Hold.
- Canceled - No UTO involvement.
People
- Sponsor/Champion: This is the person who has raised and negotiated this project as a priority for the UTO. This person is always a direct report to the President.
- Lead Customer: Business partner(s) who represent the end users, aid in design, specification, and take ultimate delivery.
- Project Manager(required): Individual responsible for successful delivery of the project. If no Project Manager is listed, then the project will state "No Project Manager."
- Contact for more information: Single or DL(Distribution List) email address to send questions to. Is slated to be replaced by CRM integration.
- Associate VP University Technology: Individual who reports directly to the University Technology Officer and is responsible for advancing the project.
- University Technology Director: Project director.
More Info
- Source(required suggested): Driver for project. Projects are either Executive, Internal, or Construction.
- Priority: Scale of importance set at the executive level (High, Medium, Lower, Priority Requested)
- Mockups: An image of the completed project (if a UI will exist).
- Scope: What the project will and will not accomplish.
- All Milestones and Schedule: A list of all past and future milestones.
- Deliverables: List of items that a project must deliver in order to be considered complete.
- Risk & Threats: Events or conditions whose occurrence, has a harmful or negative effect on the ability of the project to meet its go-live date.
- Dependencies: An automatic search and link to other UTO projects that a project is dependant on for completion.
