HRIS Process Flow Documentation

Develop a method to document the OHR flow of jobs and queries that are processed during the two-week pay period, quarterly, fiscal year end and as needed. The ‘process flow document’ will be a detailed, written documentation of processes, queries and procedures for the payroll, benefit, talent acquisition, financial services and human resources modules. Each step of the process will be properly documented and available to each HR module. The list will include process names, navigation, job names, run control instructions, job dependencies, days to run the process, and on-call procedures. Also included are on-call instructions for each process should specific problems arise (i.e. rerun, send email, or call supervisor, etc.).

The Support Team will initiate the original list and will meet with functional users and production support to review the biweekly document to add, revise or delete processes.

The documentation will be used as a communication tool in coordinating process changes with Operations. In addition, the document will be used as a testing tool during updates and fixes.

The consequences of not having written documentation causes lost work, frustration and inconsistencies in addition of having disastrous consequences.

Fiscal Year 2010 Notice of Appointments

The intent of this project is to enable an employee to easily accept their Notice of Appointment electronically and recieve confirmation, along with a pdf document for their records.

ASU would like to use the NOA as a place holder for information on renewals and non renewals for year-to-year employees. The university would like to begin sending the NOA in advance of the next Fiscal and Academic years.

The Notice of Appointment is subject to the Conditions of Professional Service (ABOR 6-301), as modified by the Board Resolution dated March 13, 2009, Conditions of Service Professional Service (SPP 320), the Arizona Board of Regents Intellectual Property policy (ABOR 6-908), and Code of Conduct policy (ABOR 5-301 et seq.), copies of which will be made available upon request. Due to the policy changes, all affected employees will require a written notice of the change. This response will be captured by accepting their FY2010 NOA.

Enterprise JIRA

Implement a production enterprise JIRA environment for UTO development. UTO developers have been using ALT^I's JIRA site to define, organize, prioritize development tasks, assign development resources, identify target due dates, etc. Although using ALT^I's application has worked to this point, access was granted based on UTO developers being former ALT^I developers. This access then extended to most UTO developers, business analysts and project managers using JIRA/Confluence. ALT^I's JIRA application was purchased with grant money for specific needs.

UTO would like to standardize on JIRA for development task tracking. Having an enterprise system will also allow UTO to extend access to JIRA to other ASU development areas that we partner with. An additional benefit to have an enterprise JIRA environment is the control of administrative permissions. With the ALT^I JIRA site administrative requests to add users, change permissions, create new project space, etc. all had to go through an ALT^I JIRA administrator.

Add CAPTCHA Challenge to ASU Weblogin SSO

The AZ State Auditor General has mandated that ASU's Weblogin Single Sign-On, and PeopleSoft back office login be modified to include an account lock-out on N failed password attempts. The industry best-practice suggestion is a CAPTCHA challenge to stop "bots" from repeatedly attempting to hack an account.

This project will include two iterations.  The first will enable a captcha challenge with Webauth, and provide a standard lockout mechanism to PeopleSoft Back Office System with a manual unlock process with the Help Desk.  The second iteration will enable webauth login for PeopleSoft Back Office Systems.

This project will also hand-over development of ASU's SSO customizations from the UTO Operations Systems group to the UTO Web Development group (Wilken).

Administrative Reorganization FY2010

This project has been renamed, used to be VP/College Code Synchronization.
As reorganizations dictate changes be made to VP/College Codes and Department Codes, the synchronization between the two have become disconnected. This has resulted in, for example, departments to display on dashboards unassociated with a VP area. This project will address both the immediate need to re-synchronize as well as establish a means to ensure code changes are managed consistently and remain synchronized. The changes include creating/updating departments, security tree and row level security, position, job data and funding. Coordinating the changes with all involved is critical to timing.

ASU Desk Phone Reduction - Proof of Concept UTO: Phase 1

8-17-2009 This project is being closed out, as the original list of deliverables has been met. Resolution of 911 issues is required for phase II of this project.

A Proof of Concept is being tested and implemented at the ASU University Technology Office (UTO).

ASU has the opportunity to realize significant savings by reducing the number of desk telephones that are now used across all ASU campuses.

The desk phone reduction options include:

  • Remove the ASU desk phone and eliminate the monthly expense of $33.00
  • ASU provides a Soft Phone for the employee at no cost - this is software that uses the computer as a phone
  • ASU provides a cell phone for the employee and pays all expenses
  • Employee uses their personal cell phone and ASU reimburses for business usage
  • Employee uses their personal cell phone and absorbs cost

UTO will be working together with ASU Colleges/Departments in determining where desk phones are currently utilized and potential savings.  The ASU Colleges/Departments will make the decisions regarding replacement of desk phones and which options will be implemented.

To participate in this opportunity, please contact Rebecca Newton at Rebecca.Newton@asu.edu or (480) 965-2010 .

Role-Based Access Control Automation - Version 1

The administration of users and access rights within ASU is a complex and challenging task. Role-based access control (RBAC) is a powerful concept for simplifying access control. In particular, Enterprise Roles spanning across different IT systems are increasingly used as a basis for ASU security management. However, the administration of roles in ASU's environment can become quite cumbersome and needs to be automated. ASU currently utilizes manual rule administration.

This project will identify rules that will be used to support automation of user and access rights administration. This will utilize a new method known as role-based provisioning which combines the advantages of rules and roles.

Cisco MARS (Monitoring, Analysis, Response System) Version 1.0

Cisco Security Monitoring, Analysis, and Response System (MARS) provides security monitoring for network devices and host applications supporting both Cisco and other vendors. Security monitoring with MARS greatly reduces false positives by providing an end-to-end topological view of the network, which helps improve threat identification, mitigation responses, and compliance.

This project is an initial deployment into the ASU network.  From this project a larger deployment that encompasses the entire university will be designed for future deployment.

The capability of this appliance is to correlate a number of security logs from the ASU network, servers, and possibly personal computers.  The initial deployment for the system is in the UTO Data Center.

Other features and benefits of Cisco Security MARS:

  • "Learns" the topology, configuration and behavior of the environment
  • Automatically updates knowledge of new Cisco IPS signatures, for up to the minute reporting on the environment
  • Promotes awareness of environmental anomalies with network behavior analysis using NetFlow and syslog
  • Provides simple access to audit compliance reports
  • Makes precise recommendations for threat mitigation, including the ability to visualize the attack path and identify the source of the threat with detailed topological graphs that simplify security response at Layer 2 and Layer 3
  • Integrates with the Cisco Security Manager to correlate security events with the configured firewall rules and intrusion prevention system (IPS) signatures that can affect the security event.

Blackboard (LMS) - Implement Respondus Lock-Down Browser

Install Respondus Lockdown Browser building block in Blackboard. This is a tool for on-line quizzes. It provides an option for instructors to address academic integrity concerns. Respondus LockDown Browser is a custom browser that locks down the testing environment within Blackboard. Students are locked into the assessment and are unable to print, copy, go to another URL, or access other applications until the test is completed.  The instructor uses the building block to select “Restricted Browsing” on a test to requiring the student use the Lockdown browser. When the student attempts to take the test, the student will be required to install the browser the first time.

The client download can be hosted with Respondus or locally. The plan is to just use the Respondus links because with that we will always have the latest version available and we won’t have to re-create their install decision tree (Mac or PC, etc.). E-mail support for this product is available from Respondus for instructors and students.

Faculty Activity Report (FAR) V.2

What is the Faculty Activity Report?
The Faculty Activity Report (FAR) is an online tool used to track the accomplishments of ASU faculty for evaluation and informational purposes.

What is being done in FAR Version 2?
The product that is currently in production at the site http://far.asu.edu is powered by a 3rd party provider. Far Version 2 will not be powered by a 3rd party provider in preparation for the 2009 evaluation cycle. Version 2 will include only services and capabilities available prior to 2008.

Why are you moving away from the 3rd party provider?
The UTO met with several colleges to find out what changes ASU could make to increase the usability of FAR to our customers.  Nearly every meeting resulted in a single fact: ASU faculty found the older version more usable than the tool deployed for the 2008 cycle.

Who are you talking with over the course of this project?
We are speaking with a number of college representatives, Deans, Chairs, and faculty who have expressed interest in the success of this product.  We formed a focus group dedicated to the successful deployment of a product that can be expanded in future revisions tomeet the needs of their groups.

What can I expect during this migration?
There will be a data entry freeze as of December 19th, 2008 at 5:00 PM, which will be in effect until the replacement application is launched on January 5th, 2009.  This new application will include the data that was entered for prior years, and the respective evaluations.  Your data will be read only once the freeze is in place, but not editable.

What is this Uncategorized Data?

As part of the project to move from Digital Measures FAR (DM) back to our original FAR system, we are converting data from DM back into our original system.  Since the data fields from Digital Measures do not always map cleanly to the fields in the replacement system (the FAR available prior to 2008), we've had to make some assumptions for the location of some data.  With the help of several faculty and staff from the many colleges, we're confident that these assumptions will be correct.  In some cases, there will be no logical place to move DM data.  In these cases this uncategorized data is being migrated and stored in a location where faculty who have entered the data into DM can still access it to copy and paste it into the appropriate FAR fields.

What are the plans for FAR and the Directory?

With the short amount of time provided to bring this application back, there are some "post production" tasks that the UTO will be completing in the first quarter of 2009.  The ASU Directory will be among those tasks.  The directory will include any information provided prior to the freeze, but that information will not be updated with new FAR information until the 3rd week in February.

Where was my data migrated to?

  1. Personal Contact Information and Profile Information will no longer be entered into FAR, but will be made available through the Uncategorized Data pages to copy and paste into the Directory.
  2. Education will also no longer be entered into FAR, but will be made available through the Uncategorized Data pages should you wish to copy and paste them into Directory.
  3. Book Sections have been migrated to Book Chapters
  4. Books Reviewed have been migrated to Books Reviewed
  5. Books Authored have been migrated to Books Authored

  19. Journal Articles have been migrated to either Refereed or Non Refereed Articles as they were noted in the record
  20. Magazine Articles have been migrated to either Refereed or Non Refereed Articles as they were noted in the record
  21. Newspaper Articles have been migrated to either Refereed or Non Refereed Articles as they were noted in the record
  22. Technical and Research Reports have been migrated to either Refereed or Non Refereed Articles as they were noted in the record
  23. Monetary Awards have been migrated to Service Monetary Awards
  24. Short Stories and Poetry have been migrated to Short Stories/Poetry/Novels/and Creative Non-Fiction

  26. Collaborative Activities have been migrated to Collaborative Activities
  27. Presentations have been migrated to Scholarly Conference Presentations/Exhibitions/Colloquia
  28. University Service has been migrated to University Service
As we stated above, in some cases there was no logical place for the record to be migrated to.  In these cases the records are being displayed in the Uncategorized Data pages so that the faculty might migrate the data to the appropriate places.  The following Digital Measures categories were not migrated to a category in FAR, and are being stored in the Uncategorized Data pages.
  1. Broadcast Media
  2. Creative Writing
  3. Education
  4. Government Publications
  5. Instructors Manuals
