CLAS Advisor Online Scheduling System

Develop an online system by which students may request advisor appointments and CLAS (College of Liberal Arts and Sciences) can manage these appointments. Students will be sent to the appropriate advisors calendars based on an ASU Advising Rule Engine that will be built into PeopleSoft. The Rule engine will use information we know about the student, and information they may be asked to supply at the time they make the appointment to determine the appropriate advisor to see.

Full scope and functionality of Calendaring component yet to be determined.

Known Scope of project:

Develop a system by which students, and individuals not yet affiliated with ASU, can scheduled appointments with academic advisors in any of the departments of the College of Liberal Arts and Sciences (CLAS). The application will use information we know about the student, and information they supply, to direct them to the appropriate advisor(s) calendars to schedule their appointments. Students with an active affiliate with ASU will access via My ASU, identified by their PeopleSoft data (major, academic level, academic standing etc.) and selections they make about why they are seeking advisement. Application to provide the means by which departments will manage their rules for directing students to advisor calendars. Non-Affiliated individuals will be directed by selections they make. Examples of information supplied by users include reasons they are seeking advisement and information supplied about themselves (a potential transfer students seeking to become a Bio-chemistry major at ASU). Provide means to support the management of these calendars by advisors and support staff, and provide email notification of appointments to students/potential students.

Features to include:

- Access to calendars via single signon from CLAS site or from My ASU.
- Rules to be maintained by individual CLAS departments to control which advisor calendars are available to each student based on student
attributes and selected reasons.
- Allow individual advisors to access their calendars to set available / non available times.
- Allow Update access to all Advisor Calendars in a department by Department Admin.
- Ability to mark students as "no-show" after two missed appointments - cannot schedule online until no-show hold is cleared.
- Provide students with information to prepare for advising sessions.

Additional Desired Functionality:

- Ability to synchronize appointment calendars with advisors Outlook calendars.
- Email reminders to students prior to appointment times

CRM Person Contact Data Synchronization Phase 1

Person contact information in CRM does not match HRSA (source system). Discrepancies in person name, email, phone number, and address result in degraded service function of the CRM system. For example, auto email notifications to CRM customers are lost and some ERMS cases get associated with general customer name vs actual customer due to missing email addresses. Additionally, application support efforts to address reported discrepancies continue to increase while user confidence decreases due to data issues.

Addressing the problem will result in increased confidence in the system due to higher levels of data integrity, which will result in fewer cases related to manually changing person data.

CRM Request Required Date for CRM case

The primary purposes of this project are to:

1) Allow customers to enter future requests
2) Bring structure to CRM requests by implementing a 30-day SLA for requests.

This project will offer customers the ability to initiate a request using the case type of "Requests" along with a “Request Required Date” for their request. End of semester classroom construction or business cycle requests are examples of good candidates for this functionality. Along with this project, we will implement a 30-day SLA for requests, as opposed to the open-ended (never-ending) requests that exist currently

With the intent of adding other sources of research activity to the NSF Survey, other data sources need to be consolidated and centralized. The Data project will consist of creating the extraction queries, transformation processes, and load procedures to migrate this data to an environment that can be used by the individuals responsible for the reporting.

The revised expectations are that the Research Dashboard show the "University Investment" along with the other expenditures made in support of research activities, and that this be available as soon as possible to display the fiscal year end results. Tables and other objects will be created in the UTO SQL Server consolidated environment, and will eventually be accessible by staff and officers who need to use the data to report university research activity completely and consistently. Effort Reporting Committed Module Tuning / Calc and display VUCS and OTC project lines

Committed Module Tuning (case #425524) - Currently, opening a large committed project times out, therefore, tuning is required. This improvement is required in order to continue to modify projects that are open for multiple years, with a large project team. Without the editing it is not possible to update committed percentages and hence reports for these individuals cannot be updated and certified.

VUCS and OTC lines missing (case #411873) - Multiple Effort Reports are failing to list the percentage of Effort that is allocated to Voluntary Uncommitted Cost Share (VUCS). This is a defect affecting the complete data correctness of reports and the display of warning messages. Lack of messages can prevent a DEA’s from rejecting reports because a VUCS warning message does not appear on reports. OTC messages still occur, but these reports do not show the complete information on the reports.

New Concepts in Course Enrollment Management Reporting

This project will focus on creating a report to facilitate scheduling classes and reserving seats in those classes. It will differ from other course enrollment management tools because it will capture the major(s) requiring a specified course and the number of students who have not yet completed the course, making it easy to identify which courses need to be reserved for students in specific majors.

The goal is to create a query in My Reports that lists courses, which major requires a course, how many students in the plans that require the courses and how many students have not yet completed the course. This report will use the newly created list of required courses for each major that is maintained by the Provost’s Office. A basic report will be created and used to solicit feedback from key individuals who are responsible for predicting how many seats will be needed by their students for courses in upcoming terms.

OnGuard (ISAAC) upgrade to version 2009 6.3 with MSSQL upgrade to 2005

Our current version of OnGuard is fast approaching end of life support and we are looking to upgrade to the latest revision. Along with this revision we will be able to take advantage of Video and Access Control enhancements as well as new functionality in the form of Visitor Management.

One of the added benefits from this version is the integration with electromechanical locks. We have several units, BioDesign for example, that are running a separate server to support their Onity Offline Lock system. This functionality has now been built into the OnGuard delivered system. This will now provide a single system for monitoring access and intrusion.

This project will be handled in 2 phases.
1st phase upgrade the MSSQL server to version 2005
2nd phase upgrade the OnGuard application to version 2009 6.3

Payroll 2009 W2/1042S Year End Processing

ASU will be using a new vendor (ADP) for year end W2 processing. ADP will process our W2’s and will be printing and posting these documents on the web for the current year 2009 and going forward.

In addition, the year end reconciliation will be automated. Currently, a manual process is completed to validate W-2 information and ensure all W-2s balance for year end. An SQR report designed to review the W-2 information as completed manually will shorten the review process and ensure any issues that need to be addressed are completed prior to year end which will provide for a smooth year end for both W-2s and 1042-S.

    Re-Architect Control-M

    Re-Architect Control-M

Control-M has been ASU’s production Workload Management tool for many years. It was originally architected when the mainframe was ASU’s primary production platform with Unix starting to take on more significance in the production environment. With the evolution of ASU’s PeopleSoft environment to the point where it is now the primary production platform, and the Windows environment hosting more applications, the growth in the number of processes managed by Control-M has increased significantly. As a result of this growth and the addition of new platforms to manage, we need to re-architect to meet future growth and satisfy Auditor requirements outlined in the current Audit project.

This project will occur in 4 phases, each addressing a specific area as outlined below:

    ·         Clean up our old Control-M environment

    ·         Upgrade Control-M to Version 6.4

    ·         Implement Control-M Disaster Recovery

    ·         Build a Control-M test environment

Restructure old Control-M environment  Business requirement

Several Control-M components and related scripts are running on very old servers that the Systems team would like to discard. One of the servers has already failed once, causing a 12 hour production batch processing outage.

     Goal:

We need to move all processes off ECSX and PROD1X onto more stable severs prior to building the new Control-M environment.  We will also Purge old records  from the database.

Control-M upgrade to V6.4  Business requirement:

The number of processes managed by Control-M continues to increase. As this workload grows, the business impact of any Control-M failure or outage also grows. Control-M V6.4 gives us greater auditing capabilities, better security, and additional capabilities to help us better manage the production batch environment.

    Goal:

    ·         Better auditing of activities within the Control-M environment

    ·         Enhanced management capabilities such as mass changes to all fields within Control-M schedule definitions

    ·         Enhanced support for Agent-less workload management

Disaster Recovery for Control-M Business requirement:

Control-M is ASU’s Enterprise Workload Scheduler. It is responsible for the timely execution, monitoring, and management of our Production batch processing and file transfers. We currently process 1,700+ processes through Control-M per day and that workload level continues to increase. Over the years, a significant knowledge base has built into the system regarding process timings, dependencies, resource requirements, and failure recovery procedures.

Should Control-M fail, and be unavailable for anytime period of time, the Scheduling team would need to manually initiate all processes, satisfy all process dependencies, manage all resources, and manually inspect all processes to determine its success or failure status once completed. Control-M is a mission critical application that must be available at all times.

     Goal:

Our objective is to re-architect the Control-M environment to eliminate any single point of failure of critical Control-M components and provide for automated failover to backup servers.  Control-M must also be able to manage processing in both the PeopleSoft and Advantage Disaster Recovery sites to ensure business continuity should either need to be brought online.

Test environment for Control-M Business requirement:

We currently have no isolated way to test development process flows prior to production migrations. Control-M upgrades are also more cumbersome than necessary since we don’t have an isolated environment to fully test patches and upgrades.

    Goal:

Our objectives for this test environment are to:

    ·         Provide an environment where Control-M upgrades and patches can be fully tested before we apply them to the production Control-M environment.

    ·         Provide an environment, isolated from the production Control-M environment, which can be used by developers to run new process flows prior to their migration to production.

SCLIntra Application - Phase 1 Mail Services Implementation

ASU Mail Services has additional hardware requirements that need to be purchased.  We are in the process of confirming how to acquire that equipment.

ASU Stores wants their implementation to be after ASU Mail Services rather than concurrent and to be treated as a separate project.

In FY08, ASU Stores delivered 46, 317 packages and bulk items; Mail Services provided 37, 245 deliveries.  This project will replace the paper tracking methodology used by ASU Stores and the PacTac Courier System used by Mail Services.

The SCLIntra Enterprise solution utilizes bar code technology to monitor and control the flow of tangible objects such as parcel, property and even personnel as they enter and move throughout and within a warehouse or facility. This application, through the use of bar code technology and robust features, will automate the process of tracking, managing, searching and reporting on the movement of assets. The application will provide signature accountability for receiving, sorting and delivery across the university.
